VoiceTick ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our voice-to-ticket SaaS platform.

By using VoiceTick, you consent to the data practices described in this Privacy Policy. If you do not agree with the practices described, please do not use the Service.

2. Information We Collect

We collect the following types of information:

Account Information: Name, email address, and profile information provided during registration.

Voice Recordings: Audio recordings (up to 30 seconds) that you create through the Service. These are processed immediately and permanently deleted after transcription. We do not store or retain audio files for privacy and security reasons.

Transcription Data: Text generated from your voice recordings by our transcription partner, Deepgram. Only transcripts are stored—never your audio recordings.

Structured Task Data: Titles, descriptions, priorities, types, and labels generated by Google Gemini AI from your transcriptions.

Integration Tokens: OAuth 2.0 access and refresh tokens for connected third-party platforms (ClickUp, Jira, Notion, Slack, Microsoft Teams).

Usage Data: Information about how you interact with the Service, including features used, timestamps, and activity logs.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Process voice recordings and generate structured tasks
  • Submit tickets to your connected third-party platforms
  • Manage your account and subscriptions
  • Send you service-related notifications and updates
  • Monitor and analyze usage patterns to improve the Service
  • Detect, prevent, and address technical issues and abuse

4. Data Processing Partners

We use the following third-party services to process your data:

Deepgram: For voice-to-text transcription. Audio data is sent to Deepgram's servers for processing and is not retained by Deepgram after transcription.

Google Gemini: For AI-powered task structuring. Transcription text is sent to Google's AI services for processing.

LemonSqueezy: For payment processing and subscription management. We do not store credit card information directly.

Supabase: For database hosting, authentication, and file storage. Data is stored securely with encryption at rest.

5. Data Security

We implement appropriate technical and organizational security measures to protect your personal data, including:

  • Encryption of data in transit (TLS 1.3) and at rest (AES-256)
  • OAuth 2.0 for all third-party integrations (no passwords stored)
  • Regular security audits and vulnerability assessments
  • Role-based access controls for internal systems
  • Secure authentication with multi-factor authentication options

6. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Voice recordings and transcriptions are retained according to your subscription plan's activity log limits (7 days for Free, 30 days for Pro, unlimited for Business).

You may request deletion of your data at any time. Upon account deletion, we will remove all personal data within 30 days, except where required by law.

7. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Right to access your personal data
  • Right to rectify inaccurate data
  • Right to erasure ("right to be forgotten")
  • Right to restrict processing
  • Right to data portability
  • Right to object to processing
  • Right to withdraw consent

8. International Data Transfers

Your data may be transferred to and processed in countries other than your country of residence. We ensure that appropriate safeguards are in place for international data transfers, including Standard Contractual Clauses where applicable.

9. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that we have collected personal data from a child, we will take steps to delete that information.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on our website and updating the "Last updated" date. Your continued use of the Service constitutes acceptance of the updated policy.
